How MailMind Works

Three steps, two minutes to set up, zero inbox anxiety.

The three-step setup

1

Connect your Gmail

Two clicks through Google's standard OAuth flow. You grant read and send access to the Gmail address you use for customer support. MailMind never sees your Google password, and you can revoke access at any time directly from your Google account settings or from the MailMind dashboard.

2

MailMind learns your brand

Once connected, MailMind pulls your store name, product catalog summary, and tone preferences from your Shopify data automatically. No spreadsheet to fill out. You can fine-tune the business name, reply tone (friendly, professional, or casual), and email signature from the settings page at any time.

3

Replies go out (or queue for approval)

MailMind checks your inbox every minute for new customer emails. It drafts a reply in your brand voice, then either sends it automatically or holds it for your one-click approval depending on the mode you choose. Every reply is logged in the dashboard so you have a full record.

The AI under the hood

MailMind uses Groq's hosted Llama 3.3 70B model with a two-pass pipeline. The first pass generates a direct, accurate reply to the customer's question using your brand context. The second pass humanizes the tone to match the register you selected, softening any stiff phrasing and removing anything that reads like a template.

This approach outperforms single-pass GPT-4 calls for transactional support email because Llama 3.3 70B is fast enough to complete both passes in under three seconds, and splitting generation from humanization produces more natural output than prompting for both at once. The result reads like you wrote it.

What MailMind reads (and what it skips)

Your data, your control

Gmail access is granted through Google's standard OAuth2 flow and can be revoked at any point from your Google account or from the MailMind dashboard. Your OAuth tokens are stored encrypted in a private database and are never exposed to the browser or shared with any third party beyond the AI inference call to Groq.

MailMind does not access any email history from before your install date. If you uninstall the app, all stored tokens and reply logs are deleted within 48 hours. For the full details, see the Privacy Policy.

Frequently asked questions

Does it read my personal emails?

No. MailMind only reads emails in the inbox of the Gmail account you connect during setup. It does not access any other Google account, any other Gmail folder outside the inbox, or any email that arrived before you enabled the app.

Can I edit a reply before it sends?

Yes. In approval mode, every AI-drafted reply is held in a queue for your review before anything is sent. You read the draft, edit it if needed, and approve with one click. Auto-send mode is also available if you prefer a fully hands-off setup.

What if it gets something wrong?

You can delete any reply log from the dashboard at any time. You can also disconnect Gmail instantly from your settings page, which immediately revokes MailMind's access and removes your stored tokens from the database.
