How the integration works
Connect Gmail with one OAuth click
You click "Connect Gmail" in the MailMind dashboard and Google's standard authorization screen appears. You grant read and send access to the Gmail address you use for customer support. MailMind never sees your Google password. The connection takes about 30 seconds, and you can revoke it at any time from your Google account settings or from the MailMind dashboard.
MailMind reads the email and looks up the customer in Shopify
Every minute, MailMind checks your inbox for new support emails. When one arrives, it reads the subject and body, then cross-references the sender's email address against your Shopify customer records. It pulls their recent order history, current order status, tracking information, and any open issues so the reply can be specific and accurate - not generic.
Drafts a personalized reply - you review or let it auto-send
MailMind generates a reply in your brand voice using the customer data it found. In approval mode, the draft appears in your dashboard for a one-click review before anything is sent. In auto-send mode, it goes out immediately. Every reply is logged so you have a full audit trail. You choose the mode in settings and can switch it any time.
What MailMind reads from Gmail
- Email subject line: Used to categorize the type of inquiry (order status, refund, shipping, product question) and set the reply tone accordingly.
- Email body: The full text of the customer's message is read to understand their specific question or issue.
- Sender email address: Used to look up the customer in your Shopify store. Not stored beyond the reply log.
- Thread context: MailMind tracks which threads it has already replied to so it never sends a duplicate response to the same conversation.
MailMind does not read emails that arrived before you enabled the integration, emails in any folder other than your inbox, or emails from automated senders and no-reply addresses.
What MailMind knows from Shopify
- Order status: Whether an order is confirmed, fulfilled, partially shipped, or has an issue.
- Tracking information: Carrier and tracking numbers pulled directly from the order, so MailMind can include them in the reply without you looking them up.
- Product details: Names, variants, and basic descriptions from your catalog, so MailMind can answer product questions accurately.
- Customer history: Previous orders associated with the sender's email, useful for loyalty acknowledgment and context on repeat issues.
- Store settings: Your business name, reply tone, and email signature from your MailMind settings page.
Privacy and security
MailMind uses Google's OAuth 2.0 protocol. The only scopes requested are gmail.readonly (to read incoming emails) and gmail.send (to reply). No access to contacts, calendar, Drive, or Docs is ever requested.
- Your Gmail password is never seen or stored by MailMind at any point.
- OAuth tokens are stored encrypted in a private database and are never exposed to the browser.
- Email content is sent to Groq's API for AI generation only - it is not stored by Groq and is not used for training. See Groq's privacy policy.
- MailMind does not sell, share, or use your email data for advertising purposes.
- Uninstalling the app deletes all stored tokens and reply logs within 48 hours.

Frequently asked questions
Does MailMind require my Gmail password?
No. MailMind connects via Google's standard OAuth 2.0 flow. You authorize access through Google's own login screen and MailMind receives a secure token. Your password is never seen or stored by MailMind at any point.
What Gmail permissions does MailMind request?
MailMind requests read access to your inbox and send access to reply on your behalf. That is it. No access to your Google contacts, calendar, Drive, or any other service is requested. You can verify the exact scopes granted by visiting myaccount.google.com/permissions after connecting.
Can I revoke MailMind's Gmail access?
Yes, at any time, with one click. You can disconnect Gmail from the MailMind dashboard, which immediately revokes access and removes your stored tokens. You can also revoke access directly from your Google account at any point without needing to log in to MailMind first.
Does MailMind read emails that arrived before I installed it?
No. MailMind records the exact timestamp when you enable the integration and only processes emails that arrive after that moment. Your existing inbox history is never read or accessed. If you disconnect and reconnect Gmail, the new timestamp is used and prior emails remain untouched.
